Term and Conditions





Definitions:


Contributor – a person who brings a pinball machine(s) for use during the entire event, in exchange for admission into the event. A contributor can request one weekend admission for each machine they bring to the event.
Exhibitor – a person or company who purchases floor space during the show with the express intent of selling or displaying a product. Exhibitors will receive a pre-determined number of admission(s) for each space purchased.
Sponsor – a person or company who provides a monetary contribution in exchange for recognition as an event sponsor, which will be displayed either on the expo website, social media, during the event, in print media, or any combination thereof.
Volunteer – a person who works assigned jobs at the show. Volunteers may be compensated with merchandise, session admission, or other incentives depending on hours worked.



Allowed and Prohibited Machines:


Pinball Machines – a game played on a commercial coin-operated device in which the player operates a plunger to shoot a ball down or along a slanted surface having obstacles and targets, often equipped with flippers to extend the time that the ball is in play.
Video Arcade Game – a commercial coin-operated dedicated video game completely contained within an upright or cocktail cabinet, originally intended for public use. All arcade games are subject to approval with only a limited number allowed on the expo floor. A very limited number of multicades may be allowed on the floor depending on space as we would prefer original games. Ride-on or oversized arcade games are highly unlikely to be approved.
Prohibited Machines – The Australian Pinball Expo will not allow certain types of games in exchange for free admission, either because of liability reasons, legal reasons, or because the game does not fit the atmosphere we are trying to create. These include, but are not limited to, slot machines, pachinko machines, vending machines, kiddie rides, ticket redemption games, console games, home arcade games, pornographic video arcade games, foosball or pool tables.
Prohibited games registered without prior approval by an Australian Pinball Expo Official will be removed from the games line-up and any associated weekend passes will be marked as “payment required”.



General:


All games exhibited in exchange for event admission must be in playable condition and set to free play for the entire duration of the event.
Exhibitors are solely responsible for the content of their sites, and the security of their goods.
Exhibitors/Contributors are solely responsible for their pinball machines security and public safety.
Exhibitors, at their own discretion, may limit free play on their machines as long as they are placed entirely within the perimeter of their own site and as long as the machine was not brought to the expo in exchange for show admission.
The Australian Pinball Expo staff, volunteers, or venue are not responsible for loss of products or machines due to theft, damage, misuse, or disasters.
It is the Exhibitors/Collectors responsibility to transport display items or games to and from the Australian Pinball Expo.
Exhibitors/Collectors agree to leave machines in playable service until 3pm on Sunday. If the machine is sold to a new owner, they must inform any buyers that machines purchased are not to be removed from the premises before that time. Machines removed before this time period that cannot be replaced by another machine will be subject to an early exit fee as determined by the Australian Pinball Expo. Early removal tickets can be purchased at the registration table and a game can then be removed after closing to the public for the night or before opening the next morning. The registered game contributor must be present for the early removal of a game or security will not allow the game to be moved.



General Admission Cancellation/Refund Policy – Purchased admission ticket(s) are non-refundable and non-transferable.
Merchandise Cancellation/Refund Policy – Merchandise purchases are non-refundable, but can be exchanged for a different size/colour, subject to availability. Visit the Merch Desk with your receipt for an exchange.
Exhibitor Cancellation/Refund Policy – Floor space is held for exhibitors which may exclude others from exhibiting. Due to the difficulty in reselling space last minute, exhibitor fees are only refundable up to 60 days prior to the show.
Sponsor and Advertisement Cancellation/Refund Policy – Sponsorships and purchased advertising opportunities are all non-refundable due to costs in printing physical promotional materials cannot be reversed.
Tournament Ticket Cancellation/Refund/No Show – Tournament tickets are only refundable until the cutoff date indicated by the tournament rules, provided that a wait listed player can replace their position. Tournament tickets are not transferable. No shows are non-refundable.
Special Guest Cancellation – Special guests are subject to cancellation or schedule changes due to other professional commitments. There are no ticket refunds if the special guest you were coming to see decides to cancel.
Pinball Machine No Show - We cannot guarantee that every advertised game will make it to expo - machines break down, it's the nature of pinball. There are no ticket refunds if the specific game you were hoping to play had to be removed from the game line up.
Show Cancellation – Being an indoor event, this is an event that will go on “rain or shine”. In the unlikely event that we are forced to cancel due to natural disasters, government restrictions, pandemic, war, alien invasion, or any other reason out of our control, no payments will be refunded, but instead a credit will be applied to a future rescheduled show. If we cancel the event by our own decision, all payments will be refunded.
Recording Notice – The Australian Pinball Expo will be recorded in and around the event. All persons entering the venue consent to the use of their photograph, image, video, voice and likeness in the event, and in promotion thereof, in any and all media, throughout the entire known universe, in perpetuity, without remuneration.

These terms and conditions are subject to modification at any time up to and including the dates of the Australian Pinball Expo.
